Registration Guideline

 

  1. In order to guarantee inclusion in the conference program, one author must be registered by June 15, 2024 (AoE). Publication in the proceedings of IEEE COINS is contingent upon receiving the payment of a non-student registration of at least one of the authors of an accepted manuscript.   2. Please note that the non-author registration deadline is July 28, 2024.
  3. Paper Presentation: To have your paper published in the IEEE Xplore digital library, it is required that you present your paper. If you do not make your presentation for any reason, your paper will be excluded from Xplore.
  4. Poster presentation: Each presenter must register by June 15, 2024 (AoE) for their talk and poster to be included in the program.
  5. PhD Forum Registration: An interactive PhD forum is planned in the evening of 29th July, and the presenter can do In-Person One Day Registration to attend only for that day or In-Person Author Registration to attend the whole conference.
  6. Travel Support: IEEE COINS offers registration discounts and a limited number of travel funds specifically for student authors of accepted papers. These are aimed at supporting underrepresented students. If you believe you are eligible and want to apply for a registration discount, travel fund, or both, please submit your request via email to Nagham Saeed ([email protected]) and Bahar Farahani ([email protected]) while copying [email protected].
  7. Sponsored Early Career Researchers Networking and Social Dinner Registration: We are partnering with the pro2 UKRI funded network+ “From Prototyping to Production of Digital Devices” and eFutures UKRI funded Network+ “Electronic Systems” to host a networking session during dinner on Monday, July 29th. The dinner is sponsored by these networks. This event is exclusively for a select group of Early Career Researchers (ECRs) who aspire to pursue an academic career in the UK and are keen to glean insights from senior academics regarding their journey in securing research council funding in the UK. Further, you must register for the conference before applying.

 Camera-ready Submission Guideline  To formalize the publication of your document on IEEE Xplore, you need to follow the following steps and submit your final camera-ready (revised after ‘reviewers’ review comments) by June 20, 2024. This is a firm deadline for the production of the proceedings.

 

 

  1. Paper style adjustment according to the IEEE template (https://www.ieee.org/conferences/publishing/templates.html). Those papers using the LaTeX sources must replace the phrase Index Terms with Keywords. Likewise, be attentive to the information of the authors and affiliations.
    1. Authors are urged to carefully consider the reviews in revising their papers in final form. Note that the Technical Program Committee cannot clarify, and you do not need to respond to them explicitly.
    2. Accepted papers are allowed
      1. Long Presentation: six pages in the conference proceedings free of charge. Each additional page beyond six pages is subject to the page charge of 150 USD per page up to the eight-page limit.
      2. Short Presentation: four pages in the conference proceedings free of charge. Each additional page beyond four pages is subject to the page charge of 150 USD per page up to the five-page limit.
    3. Do not add any page numbering, header, or footer.
    4. Additionally, the Copyright notice must be included in the document. When preparing your final paper for submission, please remember to add the applicable copyright notice found below for this conference to the bottom of the first page of your final paper (Please see the IEEE template). This step should be completed before creating the PDF of your final paper:
      1. For papers in which all authors are employed by the government, the copyright notice is: U.S. Government work not protected by U.S. copyright
      2. For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3503-4959-7/24/$31.00 ©2024 Crown

  1. It is required that all PDF submissions be IEEE Xplore compliant. If your file does not meet Xplore compliance, it cannot be published and will be excluded from the IEEE COINS Proceedings and IEEE Xplore. To help you meet this requirement, you must FIRST check to ensure that your PDF file is compliant by using the IEEE PDF eXpress system (https://ieee-pdf-express.org/) BEFORE you submit your final camera-ready version of the pdf file. To do so, please
    1. Create a new account for the IEEE COINS conference using 61597X as the conference ID. Please note that, in order to access the service, you need to allow the use of cookies from the PDF eXpress website.
    2. Select Continue or Login to your account later.
    3. Create a New Title.
    4. Enter Title (must be the same as inside PDF).
    5. Select and Upload the final version PDF.
    6. Wait for PDF checking; it depends on the workload of the system, usually a few minutes but not more than 24 hours. You will also receive an email with submission confirmation and also with the result. The result must be Failed or Passed.
      1. If Failed, you have to download the PDF Check report and resolve marked errors; then, you must Try Again until the Passed report. You have a limit of intents; try to resolve all errors at the same time.
      2. Passed result. Select Approve for Collection, download the PDF (in the title link), and update it on the easychair website.
  2. Final version submission on EasyChair. The document generated in phase 2 must be uploaded to the Easychair platform. To do so, please log in EasyChair at https://easychair.org/conferences/?conf=ieeecoins2024 and select the accepted submission for which you want to upload the final edition. You can confirm it by the ID number of your submission, like “Submission #.” Please submit your paper using the PDF. Format (“Update file” from the right-hand menu, red border). After selecting the file that you wish to upload from your computer, submit your final paper by selecting the “Submit” button. Note: The names of the authors and their order in the camera-ready version of the paper cannot be modified or deviate from the original submission in EasyChair. It is vital to acknowledge that the conference holds the right to reject the paper if any modifications are made to the author’s information without prior approval. In exceptional circumstances, authors should first communicate with the conference chairs and, upon their approval, proceed with the necessary updates. Any changes to the final paper title or author list must be changed both in the final paper and Easychair System. (“Update authors” or “Update information” from the right-hand menu, red border)
  3. We also kindly ask you to fill out the copyright section.
      1. The article title and authors must match the information provided in EasyChair. If there is an error, please make sure to update it in the EasyChair platform before proceeding with the copyright form. It is essential not to submit your copyright without updating the EasyChair platform, as it is not possible to resubmit the copyright more than once.
      2. The copyright form cannot be submitted multiple times. Please ensure that the names of all authors are correctly provided. It is important to include all authors in the copyright form, and their order should be accurately reflected.
      3. Please ‘Don’t use non-English characters, e.g., accents or ñ.
