Camera Ready Preparation

 

All accepted authors are required to prepare and submit the final, camera-ready version of their paper by the specified deadline. Please follow the guidelines below carefully to ensure your paper meets all formatting and submission requirements.

1. Paper Style Adjustment According to the IEEE Template

a. Authors are urged to carefully consider the reviews in revising their papers in final form. Note that the Technical Program Committee cannot clarify, and you do not need to respond to them explicitly.

b. Accepted papers are allowed:
    i. Long Presentation:
        – Six pages in the conference proceedings free of charge.
        – Each additional page beyond six pages is subject to the page charge of 150 USD per page up to the eight page limit.
    ii. Short Presentation:
        – Four pages in the conference proceedings free of charge.
        – Each additional page beyond four pages is subject to the page charge of 150 USD per page up to the six page limit.

c. Do not add any page numbering, header, or footer.

d. Additionally, the Copyright notice must be included in the document.
When preparing your final paper for submission, please remember to add the applicable copyright notice found below for this conference to the bottom of the first page of your final paper (Please see the IEEE template).
This step should be completed before creating the PDF of your final paper:

    i. For papers in which all authors are employed by the US government, the copyright notice is:
        U.S. Government work not protected by U.S. copyright

    ii. For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:
        979-8-3315-2037-3/25/$31.00 ©2025 Crown

    iii. For papers in which all authors are employed by the European Union, the copyright notice is:
        979-8-3315-2037-3/25/$31.00 ©2025 European Union

    iv. For all other papers the copyright notice is:

2. IEEE Xplore-Compliant PDF Requirement

It is required that all PDF submissions be IEEE Xplore compliant. If your file does not meet Xplore compliance, it cannot be published and will be excluded from the IEEE COINS Proceedings and IEEE Xplore.

To help you meet this requirement, you must FIRST check to ensure that your PDF file is compliant by using the IEEE PDF eXpress system (https://ieee-pdf-express.org/) BEFORE you submit your final camera-ready version of the pdf file.

To do so, please:

a. Create a new account for the IEEE COINS conference using 65080X as the conference ID.
b. Select Continue or Login to your account later.
c. Create a New Title.
d. Enter Title (must be the same as inside PDF).
e. Select and Upload the final version PDF.
f. Wait for PDF checking; it depends on the workload of the system, usually a few minutes but not more than 24 hours. You will also receive an email with submission confirmation and also with the result. The result must be Failed or Passed.

    i. If Failed:
        – Download the PDF Check report and resolve marked errors.
        – Try Again until the Passed report.
        – You have a limit of intents; try to resolve all errors at the same time.

    ii. If Passed:
        – Select Approve for Collection.
        – Download the PDF (in the title link).
        – Update it on the EasyChair website.

3. Final Version Submission on EasyChair

The document generated in phase 2 must be uploaded to the Easychair platform.

To do so:

  • Log in to EasyChair: https://easychair.org/conferences/?conf=ieeecoins2025
  • To submit the camera-ready version, please log in to EasyChair and select the role “Proceedings Author (IEEE Proceedings)” instead of “Author.” This selection is required to access the camera-ready submission section. 
  • Select the accepted submission for which you want to upload the final edition (confirm using “Submission #” ID).
  • Submit your paper using the PDF format via “Update file” from the right-hand menu (red border).
  • After selecting the file from your computer, click “Submit”.

Note:

  • The names of the authors and their order in the camera-ready version of the paper cannot be modified or deviate from the original submission in EasyChair.
  • The conference holds the right to reject the paper if any modifications are made to the author’s information without prior approval.
  • In exceptional circumstances, authors should first communicate with the conference chairs and, upon their approval, proceed with the necessary updates. In this case, any changes to the final paper title or author list must be changed both in the final paper and Easychair System (“Update authors” or “Update information” from the right-hand menu, red border).

4. Copyright Section

a. The article title and authors must match the information provided in EasyChair.
If there is an error, please make sure to update it in the EasyChair platform before proceeding with the copyright form.
It is essential not to submit your copyright without updating the EasyChair platform, as it is not possible to resubmit the copyright more than once.

b. The copyright form cannot be submitted multiple times.
Please ensure that the names of all authors are correctly provided.
It is important to include all authors in the copyright form, and their order should be accurately reflected.

c. Please don’t use non-English characters, e.g., accents or ñ.

5. Author Registration

In order to guarantee inclusion in the conference program:

  • One author must be registered by June 25, 2025 (AoE).
  • Publication in the proceedings of IEEE COINS is contingent upon receiving the payment of a non-student registration of at least one of the authors of an accepted manuscript.
  • Each accepted manuscript requires one distinct non-student registration.

6. Paper Presentation

To have your paper published in the IEEE Xplore digital library:

  • It is required that you present your paper.
  • If you do not make your presentation for any reason, your paper will be excluded from Xplore.

7. Special Session Papers

Authors of papers accepted to special sessions must:

  • Include the label (Special Session) in 10pt font at the top-right corner of the first page of their camera-ready submission.
  • For LaTeX users using the IEEEtran conference document class, add the following lines just before \begin{document}:
